Privacy Policy

1. Who we are

WordsForThis (“we”, “us”, “our”) is operated by Virtual Cognition Pty Ltd (ABN 14 688 800 393), an Australian business, and is responsible for the personal information described here. 2. What we collect and store

When you complete the guided interview and purchase a piece of work, we collect and store on our servers:

  • Contact details — your email address (to deliver your work and for support), and your name if you provide it.
  • Your interview answers — the memories, stories, relationships and details you type or dictate. These commonly include personal information about other people (for example a loved one who has died, a couple, or family members) and may include sensitive information such as health or religious details.
  • The generated drafts we create from your answers.
  • Order information — occasion, amount, currency, payment status and the payment provider’s transaction reference.
  • Technical data — IP address and browser/user-agent, used for security and fraud prevention.

We do not store your card or banking details — payment is handled entirely by our payment provider (Paddle), which acts as merchant of record.

3. How we use your information

Only to: run the interview and generate your requested speech or letter; give you a private link to retrieve your work; process your purchase and provide support; and detect and prevent fraud or abuse.

We do not sell or rent your information, do not use your content or answers to train AI models, and do not use it for marketing unless you opt in.

4. Who we share it with

We share the minimum necessary with providers who process data on our behalf:

  • Paddle — payments, tax and refunds, as merchant of record.
  • Anthropic (United States) — the AI that generates your draft from your answers.
  • Supabase — database hosting; your order, answers and drafts are stored in Singapore.
  • Microsoft Azure — application hosting.

We also disclose information where required by law or to protect legal rights, and on a business sale or merger (with notice).

5. Where your data is stored & international transfers

Your data is stored in Singapore (Supabase) and processed by the application in Hong Kong (Azure East Asia); your interview answers are sent to Anthropic in the United States to generate your draft. As an Australian operator we remain accountable for your information wherever it is processed (Australian Privacy Principle 8) and take reasonable steps to ensure these providers protect it.

6. Data security

We use encryption in transit (TLS) and at rest, restrict access to server-side application processes, and collect only what we need.

7. How long we keep it

  • Your interview answers and generated drafts are kept only for the retrieval window of 14 days (your answers are retained during the window so you can request re-generated drafts), after which they are automatically deleted.
  • Order records (e.g. email, amount, transaction reference) may be kept longer where required for tax/accounting and legal compliance, to the minimum necessary.
  • Short-lived technical and security logs.

8. Your rights

Under the Australian Privacy Principles (and the GDPR, where applicable, for visitors in the EU/UK) you may request to access, correct or delete your personal information, and complain about how we handle it. Email support@virtualcognition.com.au and include your order number, as we hold data only briefly and via a retrieval token.

9. Sensitive information about other people

Eulogies and similar pieces may contain sensitive details about other identifiable individuals. We process this only to produce the content you requested, retain it briefly, and use it for no other purpose. Please share only what you are comfortable providing.

10. Children

The service is not directed at children, and we do not knowingly collect their data.

11. Changes

We may update this policy; the “last updated” date above will change accordingly.
